Real Estate Lead Follow Up: Reply in 1 Minute, Book the Call Tonight

A lead that waits until morning is a lead you paid for and lost. This guide covers the first reply, the setter's three questions, the handover to a closer and the reminders that stop no-shows, with timestamps from our own mystery shop.

Real Estate Lead Follow Up: Reply in 1 Minute, Book the Call Tonight

Real estate lead follow up is everything that happens between a buyer filling in your form and that buyer turning up for a call or a site visit.

It is also where most property marketing budgets quietly disappear. The ads did their job, the lead arrived, and then nobody answered until the next morning.

This guide covers real estate follow up for developers step by step: how fast to reply, which channel to use, what to ask, how to hand the lead to a closer, and how to stop booked calls from turning into no-shows.

Key takeaways

  • Reply within five minutes. Every hour you wait, the buyer is talking to someone else.
  • Follow up on WhatsApp if that is where your buyers live, and send what you promised before you ask anything.
  • Three questions are enough to qualify: why, what type, what budget.
  • Split the work: a setter replies and books, a closer runs the call.
  • A reminder before and a rebook after save more leads than a bigger ad budget.

What Is Real Estate Lead Follow Up?

Real estate lead follow up is the sequence of messages and calls that moves a new enquiry to a booked conversation, and then to a site visit or a deposit.

It starts the moment a form is submitted and ends when the buyer either commits or tells you why they won't.

For developers, follow-up carries more weight than for agents. The buyer may be in another country and another time zone, the purchase is large, and the project may still be on paper. The first person they speak to is the first proof that your company is real.

Speed to Lead: Reply Within Five Minutes

Speed to lead is the time between a lead arriving and your first reply. For property, aim for under five minutes. A buyer who just filled in your form is still holding their phone and still thinking about your project. An hour later, they are thinking about someone else's.

Most speed to lead real estate advice stops at "be fast". What matters just as much is what the first message does.

It should deliver what the ad promised, confirm who you are, and open a conversation with one easy question. Here is how the reply played out when we filled in a Bali developer's catalog form on 27 October 2026 (times in WIB):

TimeWhat happened
18:36 We submitted name and phone on the catalog page
18:37 A setter offered "a curated overview" with a one-tap Yes
18:47 to 19:58 Three questions: purpose, type of unit, budget
20:15 An offer of a 20-minute Zoom with a consultant
21:04 Call booked for 9:00 the next morning

One minute from form to first reply, and a booked call before the evening was out. Our reading of that chat, from the teardown:

"The catalog is the reason to reply, not the product. The chat has one job: a booked call with someone who knows their budget."

Use WhatsApp for Real Estate Follow-Up

In much of Asia and the Middle East, WhatsApp for real estate is not one channel among many. It is where the sale happens.

Buyers answer a WhatsApp message in minutes and ignore an email for days, so build your follow-up around the phone number, not the inbox. As we put it after auditing every form in the funnel:

"Phone first, email optional. In this market the sale happens on WhatsApp, so the phone is the field that matters."

Three rules make WhatsApp follow-up work:

  1. Send what you promised first. If the ad said the catalog would arrive on WhatsApp, the first message should contain the catalog, not a question. In our mystery shop, the setter asked three questions and booked a call, but the catalog never came, not even after we asked for a brochure the next morning. That one broken promise is the easiest thing in this guide to fix.
  2. Use a brand account for volume. A WhatsApp Business account, connected to your CRM, lets one person handle many new leads quickly and keeps every conversation on record.
  3. Keep it human. When we asked the setter whether we were talking to a bot, the answer was a person, and that mattered. Short messages, real names, one question at a time.

What a Real Estate Appointment Setter Does: Three Questions

A real estate appointment setter has one job: turn a new lead into a booked call with the right closer. They don't sell the unit. They qualify, route and book. Three questions, asked one at a time, are enough:

  1. Why are you buying? Investment, personal use, or both.
  2. What type of property? Villa, apartment or studio, townhouse, or a hotel unit.
  3. What budget are you comfortable with?

Then the setter offers a short call with a clear agenda. The offer we received listed exactly what the 20-minute Zoom would cover: photos and layouts, payment plans, returns, how the property would be managed and rented, and how ownership works for foreign buyers. An agenda turns "a sales call" into something worth 20 minutes.

Hand Over to a Closer and Book the Call

Once the call is booked, a second person takes over: the closer, usually a senior consultant who knows the projects and the numbers.

The handover is where many teams drop the ball, so make it explicit. Confirm the date and time, name the closer, and have the closer introduce themselves right away.

In our mystery shop, the setter sent a confirmation with the date and time in bold and the consultant's name. Four minutes later, the consultant messaged from her own number with the Zoom link. The teardown explains why that split works:

"The brand account does volume; the closer's own number builds a relationship."

Real Estate Lead Nurturing That Prevents No-Shows

Real estate lead nurturing is everything you do to keep a lead moving when they are not ready yet, or when they miss a step.

The most expensive miss is the booked call that never happens, and it is also the cheapest to fix. Send a reminder the day before and again five minutes before the call.

If the buyer doesn't join, offer a new time within the hour, while your message still feels like a courtesy rather than a chase.

We tested this on purpose. We booked a call and didn't show up. In the numbers section of the teardown, we wrote:

"Show rate is the quiet leak. We booked a call and didn't join. Nuanu sent a reminder 5 minutes before and a reschedule offer within the hour. Most developers just lose that lead."

The rebook message was simple: no worries, consultants are available from 9am to 10pm every day, weekends included, and which city and time zone are you in?

For leads who are genuinely not ready, nurturing means staying useful without pushing: a monthly progress update from the build site, the next price release, or an invitation to an investor evening.

From Call to Site Visit

The site visit is still where most property deals close. Treat it as the reward for a buyer who has done the earlier steps, not as a first meeting.

Book it only after a call where the budget, timing and right units are known, and send a short agenda: which units they will see, who they will meet, and what happens next. Our verdict on the site visit, from the borrow, keep or skip list:

"Still the close. Just make sure only buyers who've had a call get one."

For buyers abroad, offer a live video tour or an investor evening they can join remotely. The developer in our teardown runs its investor day on site, with a Zoom option for people abroad, and only after an interview call. If buyers still stall between the call and the deposit, that is a conversion problem rather than a follow-up problem, and we break it down in our guide to real estate lead conversion.

A Real Estate Lead Follow Up System You Can Copy

Follow-up only stays fast when it is a system, not a habit. Here is the real estate lead follow up system we set up for developers, from the first minute to day two:

When Who What happens
Minute 0 to 5 Setter Reply on WhatsApp and send the promised catalog or price list
First hour Setter Ask the three questions, one at a time
Same day Setter Offer a 20-minute call with a clear agenda and book it
Right after booking Setter, then closer Confirmation naming the closer; the closer says hello from their own number
Day before and 5 minutes before Closer Reminders
Missed call Setter Offer a new time within the hour
Day 2 onwards CRM Leads not ready yet move to nurture, with a reason recorded

Every step should be logged in the CRM with a date, so you can see where leads stall. The capture side of this system, from the lead magnet to the two-field form, is covered in our guide to real estate lead generation.

FAQ

What is speed to lead and why does it matter in real estate?

Speed to lead is the time between a new enquiry and your first reply. In property it matters because the buyer is usually comparing several projects at once. A reply within minutes reaches them while they are still interested; a reply the next morning often reaches someone who has already booked a call elsewhere.

How fast should you follow up a real estate lead?

Within five minutes. In our mystery shop of a Bali developer, the first reply came one minute after the form, and a call was booked the same evening.

How should developers use WhatsApp for real estate follow-up?

Reply from a WhatsApp Business account connected to your CRM, send the promised catalog in the first message, ask one question at a time, and hand booked calls to a closer who messages from their own number.

What does a real estate appointment setter do?

A setter replies to every new lead within minutes, asks three qualifying questions (why, what type, what budget), and books a short call with the right closer. They qualify and book; they don't sell the unit.

How do you nurture real estate leads until the site visit?

Remind them before every call, rebook missed calls within the hour, and keep leads who aren't ready yet warm with useful updates: build progress, new price releases and invitations to investor evenings.
